Role Introduction


Reports to:
Academy Management Specialist

This person provides day to day administrative and logistics support to ensure The Learning Academy’s effective and efficient operation, so that learning participants will have an optimal learning experience and environment. This includes the maintenance of all facilities and equipment, course support and inventory control in line with LEAN principles. The Learning and Facilities Support Executive should initiate and deliver continuous improvements to our process and procedures so that our resources are used most efficiently.

Key Responsibilities


  • Manage facility operations including:
    • Handle day-to-day facilities booking requests and applications
    • May involve shifts and regular job rotation between various locations (Cathay City and Cathay House)
    • Provide IT support, projector maintenance, AV support and other equipment support to users
  • Maintain good housekeeping of The Learning Academy facilities and fixtures and ensure facilities and equipment are in good condition
  • Respond to The Learning Academy hotline
  • Assist Academy Resource Planning Specialist in processing monthly resources allocation and statistics reports
  • Carry out course-related administration and support programme logistics including:
    • Permits applications for trainers and participants
    • Calculate monthly gratuity for LDEs, assist Learning Managers with monthly budget control and forecasts
    • Coordinate catering orders for all courses
    • Send E-learning module & online feedback survey to trainees for all courses and E-learning modules
    • Allocate duties for maternity ground crew
    • Coordinate special activities e.g. guest speakers
    • Order and stock control of training materials
    • Update and maintain lesson plan and training materials
    • Prepare and distribute pre-course materials to all training courses
    • Inventory control
    • Administer payment costs and ensure timely invoice payments

Requirements


  • Good IT capabilities (using computers and projectors etc.)
  • Experience in and a passion for customer service
  • Skilled in desktop applications such as Word, Excel and PowerPoint
  • Willingness to conduct simple hands-on maintenance for training facilities set-up
